Collection of Data

Harry Potter Online RPG requires that certain data is collected from all users upon registration to the site, along with subsequent access to any pages, forums, blogs and any other services that are offered. Upon registration you are required to submit your date of birth and a valid e-mail address as part of our Terms & Conditions. The information given is not personally identifiable, however there are features within Harry Potter Online that allows users to edit profile information and display it to others. Such features include but are not limited to; date of birth, interests, email addresses and social media accounts.

The data collected will be; used fairly, lawfully and transparently, used for specified, explicit purposes, used in a way that is adequate, relevant and limited to only what is necessary, accurate and, where necessary, kept up to date, kept for no longer than is necessary and handled in a way that ensures appropriate security, including protection against unlawful or unauthorised processing, access, loss, destruction or damage.

We respect your right to privacy and are committed to maintaining it. We only collect, store and process your personal information in accordance with the relevant laws and regulations.

By accessing, browsing or otherwise using Harry Potter Online RPG you confirm that you have read and understood this privacy policy. Please ensure you have read it carefully, and particularly the section detailing your rights in relation to the personal information that we collect about you.


Harry Potter Online does not allow children under the age of 13 to register an account with Harry Potter Online, exceptions may be made, but parental consent via contact with the Site Manager must be carried out before an account is created. More information can be found by reading the Children's Online Privacy Protection Act of 1998 (COPPA).


The use of cookies is also enabled upon Harry Potter Online. Both sessions and persistent cookies are used when using Harry Potter Online, these cookies can be set and accessed by Harry Potter Online from your computer at any point. Session cookies are only temporarily stored and are deleted when you close your browser. Persistent cookies however remains even after the browser has been closed, and may be subject to use the next time to access Harry Potter Online. Persistent cookies can be manually removed through your Web Browser. For more information on this please consult the help section of your Web Browser.

Use of Data

Harry Potter Online records information received on our server logs from your Web Browser. This includes your IP Address, Cookie Information, and the page that you request. The collection of the information is a must to operate, maintain, enhance, inform and provide you of all the features and services Harry Potter Online has to offer. Harry Potter Online also reserves the right to monitor in-game chat and mail features for the safety of its players and to ensure that the Site Rules are adhered to at all times. Your e-mail address may be used after registration for administration purposes only. Such purposes including, account activation and welcome e-mails and notification of any updates taking place to Harry Potter Online RPG, including server maintenance, downtime and upgrades. Harry Potter Online also uses members e-mails for service and support in relation to account matters and donations to Harry Potter Online RPG. The information collected by Harry Potter Online RPG will not be shared, rented, sold or disclosed in any way with any non-affiliated companies to Harry Potter Online RPG, unless required to do so by law, or with the strict permission of the user in question. All information is limited in access, with only specific members of staff being able to access various parts of the information that is collected.

Editing & Deleting Your Account Information

Harry Potter Online RPG allows all users to edit and delete account information that is submitted during registration and thereafter. This ability can be found in in the User Preferences page when logged in. Deleting your account may also be requested via a Petition or direct contact to the Site Manager. If an account deletion is requested, then all personal data related to that account will be deleted permanently. There will be no reactivation or recovery once the account is deleted. Other data that you have submitted whilst using Harry Potter Online that is not contained to your User Account, for example commentary quotes that are made throughout game-play may remain despite your account being deleted. There is also an automatic deletion buffer for new accounts that have not been logged into and have not reached the required level to stay within the game. The ‘Create a New Character’ page shows details of when accounts auto-delete.

Changes to the Privacy Policy

This policy is subject to updates by Harry Potter Online RPG. Any updates to this policy will be communicated by a prominent, public announcement and/or by sending a message to the e-mail address that has been provided for your account.

No Guarantees

While this policy defines our standards for maintenance of data, we will make every effort to meet them. However, we are not in a position to guarantee these standards as there may be factors beyond our control that may result in disclosure of data. As a consequence, we disclaim any warranties or representations relating to maintenance or nondisclosure of data.
